wedding planning

Prioritising Your Wedding Elements

Start with what’s legally required. Marriage licenses need specific notice periods, but we’ll help fast-track where possible.
When planning your wedding ceremony, it’s essential to know that if you’re working with the local registrar team, you’ll only communicate with the office as a whole, not the specific registrar who will be present on your big day. Additionally, the ceremony will follow a standard script with no modifications permitted. If you’re looking for a more personalised approach that reflects your unique beliefs or values, this setup might feel limiting.

An excellent alternative to consider is hiring a non-legal wedding celebrant. This option allows you to craft a ceremony that feels deeply personal and meaningful, without delaying your celebration. Many couples choose this route, having a bespoke ceremony on their chosen day and completing the legal formalities at a registry office at a later time. If your preference leans toward a traditional religious ceremony, a church wedding may also offer a tailored experience. However, with only six weeks to plan, this might be challenging to arrange.

Next, tackle your guest list. Be decisive. Each adjustment impacts catering, seating, and accommodation needs. Send digital invites immediately after finalising numbers. They’re quick and track responses automatically.

Your budget needs careful allocation when time is tight. Premium dates often cost more, but midweek celebrations can offer significant savings. We’ll help you identify where spending makes the biggest impact.

Experience shows that venue capabilities matter more than ever with rushed timelines. Look for:

  • On-site accommodation
  • In-house catering
  • Dedicated coordinator
  • Existing decorations you can use
  • Trusted supplier relationships

Don’t waste time viewing venues that can’t meet these criteria. It’s that simple.

How Wedding Suppliers Use Technology To Improve Their Customer Experience

November 18, 2024 by Laura Lewis Leave a Comment

Organising and delivering a wedding was once a very manual process. Today, technology offers wedding suppliers the opportunity to streamline their operations to ultimately enhance the customer experience. In this blog post, we explore just some of the ways in which vendors are leveraging technology to deliver better and more personalised weddings for their clients.

Virtual reality venue tours

Virtual reality (VR) is revolutionising how couples explore wedding venues. With VR technology, clients can take immersive tours of potential venues from the comfort of their homes. The main advantage of implementing this technology – for both clients and companies – is the opportunity to save time during the wedding planning process. Beyond that, VR tours give couples the opportunity to experience the venue in a more realistic way than static images or videos, allowing them to narrow down their shortlist without having to visit every option.

As the icing on the cake, you can even play around with different designs and décor to give the nearly weds a glimpse at what it might look like on the day. Suppliers offering VR tours can set themselves apart from competitors and attract tech-savvy clients looking for convenience in their decision-making process.

Leveraging data

Businesses in all sectors need to use data effectively to achieve sustainable growth, and the wedding industry is no different. However, especially for small suppliers looking to establish themselves in the market, they may feel that gathering and leveraging data is too complicated or time-consuming – but not with the right technology in place. Types of data vendors should look to collect include basic demographic information and psychographic data around customers’ likes, interests and attitudes. Having access to this type of data means businesses can provide a far more tailored (and ultimately more exceptional) experience.

Once you start to gather the necessary data, it’s important to think about how you’ll organise this information so it can be easily accessed by all relevant parties. There is plenty of software available on the market to make this easy for you, so you don’t have to be a tech wizard to make the most of customer data.

Establishing an online presence

When your bride and groom have a million tasks to get through during the wedding planning process, they don’t want to be waiting on hold for hours on end to get the information they need. While offline methods of communication certainly still have a place in the industry, it’s imperative that vendors establish a digital presence to make their service as accessible as possible.

This will generally start with a slick and user-friendly website. Be sure to implement an online booking system to give clients the chance to check availability, schedule appointments and make reservations around the clock – ultimately reducing the need for back-and-forth communication.

It’s also increasingly important that suppliers establish themselves on social media. By actively maintaining profiles on platforms like Instagram, Facebook, and Pinterest, suppliers can showcase their work, share testimonials, and respond to inquiries. Social media also provides an opportunity to build a community around the brand, offering tips, inspiration, and support to followers. Effective social media engagement can increase brand visibility and foster a strong connection with clients.

Real Wedding: Emily & Chris June Wedding

November 14, 2024 by Laura Lewis Leave a Comment

About The Couple

We first met in 2011 during our University years at Plymouth. Emily had gone out for the evening to see the illusionist Darren Brown with her housemates. Later that day through a mutual friend, we were introduced to each other and that’s when our story started! Aside from her obvious good looks, within only a few minutes of speaking, I knew that there was something more here between us. We enjoyed an evening of chatting and drinks and never stopped seeing each since! From this day we have shared over a decade of memories and milestones including graduations, landing our first professional jobs, buying our first house together and travelling the world side by side. None of which would have been possible without our attentiveness to one another and the love we share.

Popping The Question

Like all grooms, I had always wanted to make the proposal special and memorable for us and I had an idea in mind for a while. We had talked about doing a hot air balloon ride together but life always got in the way and we never got around to it, or so she thought. I had been planning it for months in secret and had received the blessing from Emily’s dad earlier in the year…

After awkwardly getting down on one knee in the tiny basket, I prompted her to turn. Hundreds of feet in the air, wind gusting, fire billowing overhead, I have never made things easy for myself. Though when it came to the ultimate question, any nerves or fear just faded away. I had never been so sure of anything more, and when she said yes it remains one of the best moments of my life.

Choosing The Venue

Berwick Lodge is quiet simply breath-taking! It is reviewed often as a “hidden gem” and more than lives up to its title. We found this wonderful place in Jan 23 on one of their open events and instantly fell in love with the gorgeous building, beautiful grounds and most of all the people. We spent 18 months planning our wedding day and the level of care, service and quality of its wonderful staff is second to none. On the day, everything went off without a hitch, food and drinks all superb, rooms of the highest standard and care from the staff was amazing.

Wedding Day Q&A

What did you wear?
I wore a Marc Darcy, 3-piece suit, in Navy Blue from Bakers of Bond Street, Yeovil. Accessorised with Goor dark brown brogues shoes; purple floral patterned tie and pocket square; sterling silver, Arion hammered silver cufflinks & tie clip from Corazon Latino; and a Tudor Black Bay 58 watch. The groomsman also wore a similar navy suit but different texture to the groom to show distinction.

What outfit did the bride wear?
The bride wore the ‘Casandra’ by Luna Novias – the style was a mermaid/fit and flair, lace wedding dress with a leaf design, v-neckline, open back, and with glitter tulle overskirt (to be removed to create a 2 in 1 dress for the evening dancing). Accessorised with a gold leaf and pearl hair clip; pearl bracelet from Liberty-in-Love; pearl drop earrings from Accessorise; ‘Cinta’ shoes from Paradox London which had block heel and ivory satin with diamante trim. The bridesmaids wore matching navy blue, Bardot draped, high leg split maxi dresses.

How did you feel on the day?
As we have been together for a long time and put so much effort into the preparations we were both super calm, so much so our guest were a little worried on our behalf. The main feeling we both felt was pure joy, the feeling of happiness that it had all come together, the way our vision had finally come into being. The little details only we knew about for months made real, seeing the statement pieces brought to life, having all our closest friends and family there to see it all and celebrate with us, was just pure joy.

Did you have a wedding cake?
Yes, Joanna, who we met at a Wedding Fayre at Berwick Lodge, she is a lovely person and was so accommodating to work with our cake vision. For our 3 tier cake, our chosen flavours were signature chocolate, orange & passionfruit and strawberry & champagne. Our Cake Meadow design was inspired by the wedding dress design (climbing leaves), which was so lovely to have that flow and mirror on the cake. We chose asymmetrical layers to give it a modern look and to show the design better. We also chose to keep the colour pure white to stay elegant and to work with the pastel colours of the flowers halo’ed beneath it. It was just so perfect!

Can you tell us about your florals for the day?
We opted for a back meadow, urns, table & sign flowers, bouquets and our statement piece our cake meadow, all in pastels – Pinks, Creams and Purples. Louise worked closely with our cake supplier to ensure this looked amazing and our guests couldn’t stop talking about it! We are so pleased with how everything turned out.

Can you tell us about your food options?
The food and drink is exquisite! From the selection of five canapés for our reception, the wedding breakfast (fishcake starter, sorbet, lamb main and chocolate fondant dessert) and evening food (sausage baps and s’mores). All were delicious, tailored for us and presented beautifully. The chefs, kitchen and waiting staff deserve such high praise for not only the quality of the meal but their attentiveness to our guests throughout the day and night making sure everything was on time and glasses were always kept topped up. Just excellent.

How did you entertain your guests?
We were very fortunate with the weather and always enjoy a good lawn game, so we provided along with the venue several activities, including boules, croquet, darts, badminton and giant Jenga which all went down real well alongside the canapés and drinks. Our main entertainment throughout the day though was the band The SideKicks and Tawsax. What can we say about this band? Simply put they’re awesome! We chose a package that included Mike & Chloe as a duet during our ceremony, followed by an acoustic set during our reception drinks. Mike, Neil & Ed then played out our first dance perfectly and got everyone on the dance floor from that point on to the end of the night.

What part stood out the most?
On such a brilliant day, its hard to narrow down the best parts… However, it would be the reveal to Emily’s Dad, he was made up seeing his first born looking so beautiful and happy. Honourable mentions for the speeches. They all got everyone in tears and laughing, their words were beautiful and heartfelt, acknowledged everyone in the room and how they had all got us to that moment and made us feel so special.

Any funny stories or unusual anecdotes?
Our photographer Alicia was sensational, but what made her so great was her relaxed nature and rapport with all our guests making them feel so at ease having their photos taken and making each one candid and fun. We had a couple of great ones taken where I was thrown in the air by my stag party and the shots look fantastic.

Who or what made your day extra special?
The wedding day was faultless, made possible by many people but most of all Georgia Bradley. She is incredible in all ways possible, everything you could want in a wedding co-ordinator and made our day so special. Her support during the entire planning stage was professional but above all caring, helping to make our day unique and exactly how we hoped. The seamless execution of the day was flawless down to the hard work and friendliness of all the staff who are fantastic. Special mention to Tan our restaurant manager for the brilliant running of the wedding breakfast and evening event and Sarah the owner of the venue for bringing such a high quality and beautiful aesthetic to Berwick Lodge, and being there on the day to share the celebrations. Thank you all for making our day so memorable.

Did you honeymoon anywhere?
We took a short mini-moon to Sardinia for 4 nights a couple of days after our wedding. It was great to have a bit of time to decompress and let everything sink in whilst relaxing by the pool or at the beach, cocktail in hand looking through our lovely photos.

Wedding Planning Top Tip

Be clear with and trust in your suppliers to do what is best for you. Inspiration is great but you don’t need everything, just what matters and means something to you. Be as prepared as you can be and hope for the best but there will always be things that will happen out of your control. Your loved ones should get you through the build-up and if something doesn’t work out as planned on the day, just roll with it. Something as unpredictable as the rain, especially in Britain, should not be a reason for the best day of your life to be dampened, excuse the pun. The most important thing is you are both there, with each other, for each other and nothing can ruin that moment for you. Be present on the day with your guests, take time to talk to them where you can as it will pass in a flash but take a minute to be together just the two of you and take it all in. You did something so special so make sure you enjoy it!

Questions to Ask Wedding Venues

September 18, 2024 by Laura Lewis Leave a Comment

17 Essential Questions To Ask a Wedding Venue

You’re engaged – exciting! You know that the first step in planning is to find a wedding venue. Let me guess – you probably haven’t done this before – and are feeling a little overwhelmed about what to ask your wedding venue.

Knowing what to ask a wedding venue is crucial for making an informed decision. The right questions can reveal important details about exclusivity, capacity, costs, and amenities that might otherwise be overlooked.

These inquiries will help you determine if a venue like Berwick Lodge aligns with your vision and budget. By addressing key topics upfront, you’ll avoid surprises and ensure your chosen venue can deliver the wedding day you’ve envisioned.

Here are our recommendations for questions you should be asking potential venues.

Key Takeaways:

  • Prioritise questions about exclusivity and capacity to ensure the venue meets your vision.
  • Inquire about included amenities and hidden costs to avoid surprises.
  • Ask about on-site accommodation and coordinator services for a smoother experience.
  • Don’t forget to discuss payment terms and availability for your preferred dates.

Questions to Ask a Wedding Venue

1. Would you have exclusive use of the venue or share with others?

Get a full understanding of where other guests would be and how they would potentially affect your wedding if you’re not having exclusive use. Also check to see if you’ll be the only wedding at the venue. Exclusive use can provide more privacy and flexibility for your celebration, but it may come at a higher cost. Consider your priorities and budget when making this decision.

2. What decorations are included from the venue?

Some venues include flowers, candles and styling options – whereas others offer a ‘dry hire’, where you can use your own suppliers to style the venue completely your own. Ask about any restrictions on decorations, such as limitations on candles or hanging items, to avoid last-minute surprises.

3. What accommodation can they offer?

Do they haveaccommodation the night before and on the night of the wedding? What is the capacity, and is breakfast included? Inquire about group booking discounts and whether they offer special rates for your wedding guests.

4. What is the minimum and maximum capacity?

Guest lists can fluctuate a lot during the planning process! Check the number of commitments with your venue before booking. Ask how the space can be adapted for different guest numbers and whether there are separate areas for the civil ceremony, reception, and evening celebrations.

5. What is included as complimentary?

Every venue offers different things as part of their service. This will help you determine any hidden extra charges – be sure to check that VAT is included, too, as this will make a big difference! Ask for a detailed breakdown of what’s included in the package versus what you’ll need to source separately.

6. What are the food & drink options?

Ask to see menus and wine lists to get an idea of the food options available. Can they cater well for special diets? Inquire about the possibility of menu tastings and whether you can bring in outside catering for specific cultural or dietary needs.

7. Is there somewhere for us to get ready?

Some venues suggest arriving ready, while others have a room to get ready in. Ask about the availability and size of preparation spaces, as well as their proximity to the ceremony area. This can be crucial for last-minute touch-ups and keeping pre-wedding stress to a minimum. At Berwick Lodge, we can have your bedroom ready earlier than the usual 3 pm check-in time, and we also have a dressing room where you can arrive early in the morning!

8. What is availability like on your chosen date or season?

Don’t make assumptions about certain months or timescales being booked up. The trends for the most popular months change every year! And if your preferred date isn’t available, ask about similar dates or their cancellation policy.

9. Can we get married there?

Which spaces are licensed for ceremonies? If planning an outdoor wedding, what is the wet weather backup plan? Understand the logistics of moving from ceremony to reception spaces, especially if weather contingencies are needed.

10. What are the payment terms?

Each venue has different payment terms, so clarify theirs and make sure that you can commit to them before booking anything. Ask about the deposit amount, payment schedule, and any flexibility they might offer.

11. Does the venue provide a Coordinator on the day?

If not, who will coordinate the ceremony and reception to keep to timings? Understand the extent of their involvement and whether you might need to hire an additional wedding planner.

12. Can you have fireworks?

And if so, do you need to do it through their approved fireworks supplier? This question extends to other special elements you might want, like sparklers or sky lanterns. Ask about any noise restrictions or curfews that might affect evening entertainment.

13. Is there plenty of free parking?

Check whether cars can be left overnight for those getting taxis home. Inquire about local transport options and whether the venue can assist with arranging group transportation if needed.

14. Which wedding suppliers do they work with or recommend?

Some couples love researching suppliers for cakes and photographers, etc., whereas some just want someone else to help them make a choice! If you fall into the latter, a recommended supplier list is invaluable. Ask if there are any restrictions on bringing in your own suppliers.

15. Can you give me an idea of the cost for my estimated numbers?

You’ll need to have an idea of how many of the day guests are adults, how many children and how many evening guests you’re anticipating. Also, what date or season and your preferred day of the week as this will be a big factor in pricing. Ask about package options and what wiggle room there might be in the pricing.

16. What are the price variations depending on day of the week?

These will vary from venue to venue, but as a rule, Saturdays are the most expensive, Mondays are the cheapest, and other days fall somewhere in between. Ask about any seasonal variations in pricing as well, as some venues offer better rates during off-peak months.

17. Are there any hidden extras?

Does the venue include things you’d assume it would, like furniture, linen, crockery & cutlery, staff, and decorations? Request a detailed breakdown of what’s included in the quoted price and what might incur additional charges. This can help you avoid budget surprises later in the wedding planning process.

How To Start Wedding Planning

August 21, 2024 by Laura Lewis Leave a Comment

Congratulations on your engagement, now the fun of planning begins! Of course, this is all very new and can be a little overwhelming at times, so we have come to the rescue by putting together our guide to the initial steps of wedding planning.

Where to start?

Budget

Before you start anything, make sure you both have a clear understanding of your wedding budget and the different expenses involved. This will help guide your decisions and keep you in line throughout your planning process. You could start using the planning section on Hitched or Bridebook to begin tracking this.

Guest list

Of course, guest’s numbers always chop and change. However, one of the first steps is to begin by getting a rough estimate of both day and evening guests, including children. This will have a knock-on effect with your budget and venue size.

What’s important to you both? Top 3 challenge!

Your wedding day is a very special day and there will be many things that are important, with some things being more poignant than others. Weddings planning sometimes involves compromise and making concessions in certain areas, in order to ensure other things with higher importance can take centre stage.

Have a little think about what your top 3 most important factors are to you when choosing a venue – is it the style of the venue? Location? Accessibility? Accommodation? Price? Food and Drink?

Online research

Once you have set your budget, drafted a guest list and decided on what is important to you, you can begin to explore online which venues will visually fit your style.

Get a true picture of a venue’s service by checking reviews on TripAdvisor, Facebook, wedding websites like Hitched and Guides For Brides and apps like Bridebook. Weddings are organised by real people and it’s key to hear what sort of an impact your wedding coordinator can have on making your day not only amazing, but easy and stress-free too.

Take a look at venues’ Pinterest accounts, to see previous weddings’ photos and get inspiration.

Wedding venues come in all shapes and sizes! Anything from country houses & barns to hotels & golf clubs. Some venues are exclusive use, while others will have multiple events taking place. Some venues will offer packages, while others will personalise their offering to suit you. Some venues will offer ‘dry hire’ (just the venue), while others will provide the whole package (ceremony, food, drink & accommodation)

Ask around

You know when someone tells you about something you’ve not heard of before and a week later you’ve seen or heard about it 10 times? This is very likely to happen with wedding planning too! Tell your friends, family and colleagues about venues or suppliers you’re considering and see whether they have any feedback or comments about them. Word of mouth has to be the best recommendation there is, right?

Go and meet them!
If there’s one thing you’ll read time and time again when you start to look at venues and suppliers, is that looking online just isn’t enough. Quite simply, you can’t beat a real life viewing or meeting. Although every venue will show off its best images, it is ever so hard to describe the feel of a place and if you’re going to put your faith in them to provide you with one of the most special days of your lives, you really need to get its vibe – feel it, see it and meet the people. Could you picture yourselves celebrating there? Are they passionate about weddings? Are they interested in your wants and needs? Can they offer help and guidance from experience, if you want them to?

Unsure how many venues to see? This may help… According to a recent survey on Hitched, typically couples view 18 venues online with 6 being shortlisted and 3 being visited. You may be lucky enough to find your venue sooner than this or you may consider more. If you find yourself viewing every venue and not deciding on any then it’s time to revisit your top 3 challenge, and if that still doesn’t help then try making it a top 5/7/10 challenge instead!

Next steps

  • Firstly, choose somewhere between 2-6 venues that you like the look of online and book in to view them in real life.
  • The two priorities after this are booking the venue and booking the ceremony – setting the date and paying a deposit to the venue and registrar/church.
  • After this you can get excited about details such as the dress, photography, flowers etc. Knowing your venue and date will help make organising these things a little bit easier too – it’s a win/win!
